Adding new BPM objects

General – In order to add new objects to the Business Process Model, use the “Add …” function (e.g. “Add Process”) in each Model content view and each Model object’s Extended View.

NOTE – whenever adding a new item (of any level) please note to click the save button in order to save your changes.

  • How do I create a new Detailed Process Diagram?

    Access the Process Extended View (by clicking on a Process name from its Decomposition Model (DM)), if no diagram is associated with the Process, you will see the Create Detailed Process Diagram link available, clicking this link will automatically create a Process Diagram template available for editing.

  • How do I create a new Process?

    Access the Capstone Model (CM) by choosing the relevant Category (Under which the Process will be located).Then choose the relevant Main Process in order to access the Decomposition Model (DM). Click the Add Process link, which appears under the Main Process rectangle, and fill the Process form.

  • What are the Process’s properties?

    • Name
    • Description
    • Owner – the person responsible for the execution of the Process
    • Enactment system
    • Executor – the person executing the Process
    • Defined by – the person responsible for the Modeling of the Process
    • Priority – in the Modeling project (not the priority of the Process in the enterprise)
    • % Complete – the completion percentage of the Process’s Modeling
    • Due-date to complete the Process’s Modeling

  • How do I create a new Main Process?

    Access the Capstone Model (CM) by choosing the relevant Category (Under which the Main Process will be located).Then choose the relevant Major Process in order to access the Major Process extended view. Click the Add Main Process link and fill the Main Process form.

  • What are the Main Process’s properties?

    • Name
    • Description
    • Owner – the person responsible for the execution of the Main Process
    • Defined by – the person responsible for the Modeling of the Main Process
    • Priority – in the Modeling project (not the priority of the Main Process)

  • How do I create a new Major Process?

    Access the Capstone Model by choosing the relevant Category (Under which the Major Process will be located).Follow the Category Extended View link on the bottom of the screen. From the Category extended view screen, click the Add Major Process link and fill the Major Process form.

  • What are the Major Process’s properties?

    • Name
    • Description
    • Owner – the person responsible for the execution of the Major Process
    • Defined by – the person responsible for the Modeling of the Major Process

  • How do I create a new Category?

    From the Capstone Model of all Categories, follow the Model extended view link. Then click the Add Category link and fill the Category form.

  • What are the Category’s properties?

    • Name
    • Description

  • How do I create a new Entity (Role, department, etc.)?

    Access the Entity list view by clicking the Entity button at the menu bar. Then click the Add link, which is located under the relevant Entity list name, and fill the Entity form.

  • How do I edit a Process Diagram?

    From the Process Extended View, follow the Edit Detailed Process Diagram link and. Alternative way is to follow the diagram view link and then choose the Edit diagram link.

  • How do I edit a Process?

    Access the Process Extended View and follow the Edit Process link. Then fill the Process form.

    I have added a new Process to the model but in a wrong location, how do I change its location?

    Follow the instruction above of Editing Process. In the Process form change the location of the Process to the desired location (the Main Process field).

  • How do I edit a Main Process?

    Access the Capstone Model (CM) by choosing the relevant Category (Under which the Main Process is located).Then choose the relevant Major Process in order to access the Major Process extended view. Click the Edit Main Process button of the relevant Main Process and fill the Main Process form.

  • How do I edit a Major Process?

    Access the Capstone Model by choosing the relevant Category (Under which the

    Major Process is located). Then choose the Major Process which is a candidate for

    editing. From the Major Process extended view follow the Edit Major Process

    link and fill the Major Process form as needed.

  • How do I edit a Category?

    From the Capstone Model of all Categories, follow the Model extended view link. Then click the Edit Category button in the row of the Category, which is a candidate for editing, and fill the Category form.

  • How do I edit a new Entity (Role, department etc.)?

    Access the Entity list view by clicking the Entity button at the menu bar. Then click on the Entity which is a candidate for editing. Follow the Edit Entity item link and fill the Entity form.

  • How do I use the Process’ “% Complete” percentage?

    When you start working on a Process, mark its completion percentage according to the following guidelines:

    • 25% – The moment the Process was added to the model.
    • 50% – An optional completion level that any user can use while working on the Process for individual needs.
    • 75% – Completing the modeling of the Process, and waiting for the global ERP project manager’s approval.
    • 100% – Process has been approved by the global ERP project’s manager.

  • Recommended number of BPM objects

    What is the recommended number of:

    • Major Processes in a Category?
    • Main Processes in a Major Process?
    • Processes in a Main Process?
    • Activities in Detailed Process Diagram?

    The answer to all of the above is between 5 and 9, 7 is the recommended number of items per level. It’s possible to have less than 5 items if that describes best the right Business Model, but it’s not recommended to exceed 9 items per level. Exceeding 9 items per level causes the Model to become cumbersome to use and maintain, if there are in fact more then 9 items per level it’s recommended to “break down” the higher level in two or more.

    As for diagrams: it is recommended to use an average of 12 shapes per detailed Process diagram but in any case not to exceed 15 shapes in a single diagram tab

  • Creating a quick report

    How to create a quick report?

    At any point you can simply click the print preview icon and create a “snap shot” of the current location.

    Hint – it is recommended to use the print preview mode when viewing a detailed Diagram (Level 5) with more than one tab, this viewing mode will give you a better and comprehensive view of the Detailed Process Diagram.

    How to create a detailed report?

    Hit the “Model related report” button at the menu bar and follow the “Three steps wizard”.

    How to create a detailed report of all Processes and Main Processes with high priority?

    Hit the “Model related report” button at the menu bar. On step I choose Major Process level (or higher), then on Step II choose the specific Major Process (or Category if this is what you chose on step I) from the model. On step III open the constraints list of Main Process and fill at the priority field the value – high. Fill the same value at the priority field of Level 4.

    How to create a detailed report of all Processes which their due date is no longer then 30-07-09?

    Hit the “Model related report” button at the menu bar. On step I choose Major Process level (or higher), then on Step II choose the specific Major Process (or Category if this is what you chose on step I) from the model. On step III open the constraints list of Level 4 (Process). In the Due date field fill the next value (in the exact format): * – 30-07-09. The format of DATE1 – DATE2 represent the date range starting at DATE1 and finishing at DATE2. The “*” sign represent “wild card”. Note : the format of the date is DD-MM-YY.

  • Search a BPM object in the model

    How to find all the Processes which are related to my Workgroup?

    Hit the search button from the menu bar. Fill your Workgroup name at the expression text box, choose the relevant level (level1 – level 4) and check the Workgroup check box (in the search field area).

    I have added a user requirement to a Process and wish to edit it but don’t remember its location at the model. I only remember the date I created it, how do I find it?

    Hit the search button from the menu bar. Fill the date that you created the requirement at expression text box. Check the user requirement check box at all the levels and the “Creation date” check box (in the search field area).

  • Access to editing functions of the Model

    Why can’t I access editing functions of the Model at all?

    You are probably defined as a “View only” type of user, if you think that this definition is inadequate please contact the relevant administrator. Another possibility is that you checked the Presentation mode checkbox in the login page, to make sure that this is not the case, reopen the application without checking the checkbox.

    I belong to Workgroup of a specific Process but cannot edit it?

    The Process you wish to edit is probably located under a Category in which your workgroup is defined as “denied Workgroup”. That means that you cannot make any changes on Processes of this Category.

  • Access to editing functions of high level model objects

    Why can’t I access editing functions of high levels and or why can’t I delete objects I marked as “soft deleted”?

    You are probably defined as “Limited editing privileges” type of user and you need a user with higher privileges to OK your actions and finalize your changes. If you think that definition is inadequate please contact the relevant administrator.

  • Creating detailed Process diagram versions

    I wish to edit a Level 5 Diagram but may need the existing Diagram in the future for references

    If there’s a possibility you will need the original Diagram it is recommended you use the “Create Versions” tool and create a version of the Diagram in order to have a “snap shot” of the existing status for future references. It is recommended to insert a comment in the Diagram version in order to explain what use you wish to make with the Diagram version.

  • Using the Owner shape in Diagrams

    When to use the Owner shape in diagrams?

    Some consecutive Activities in a Detailed Process Diagram are carried out by the same Owner.

    Do I need to attach to each such Activity this same Owner?

    It is not compulsory for you to repeat the Owner field. If all the activities in a detailed Process diagram have the same owner it is possible, instead, to attach the Owner shape only to the first Activity in the sequence.

  • Attaching Owners to Decision shapes

    Is it required to specify Owners of Decision Activities?

    Decision shapes do not require Owner specification, unless their Owner is different from their preceding Activity’s Owner.

  • Archiving Processes for future usage

    I wish to delete Processes of various levels but may need those Processes in the future for references

    Move all Processes you may need in the future to the “Recycle” area which is defined as a Level 1 Category instead of deleting the Processes. That way if you need to reuse those Processes in the future you can simply move them again to the relevant location.
